2024 - Director of Operations

The Arizona Justice Project (“AJP”), a 501(c)3 nonprofit organization, is dedicated to seeking justice for the innocent and correcting cases of manifest injustice in Arizona. Founded in 1998, the AJP was the fifth innocence-oriented organization to form in the United States. With a mission to seek justice for the marginalized and forgotten, the AJP provides pro bono legal representation to indigent individuals who have been wrongfully convicted in Arizona.

In 26 years of operation, the AJP has secured the release of over 45 individuals in Arizona who were wrongly convicted or suffered a manifest injustice. The AJP works to educate the community on causes and impacts of wrongful convictions and to strengthen the system to prevent such injustices from continuing to occur.

Title: Director of Operations
Status: Exempt; Full-Time; Salaried
Salary: $70,000 – $78,000
Benefits: Health/Dental/Vision Insurance (employer covers 100% of the premium), 4 Weeks PTO, 401K Plan, Holiday Pay

Objectives for the Director of Operations: The Director of Operations will be responsible for the direction, management, and implementation of the Arizona Justice Project’s general operations. This position will work closely with the AJP’s Executive Director (“ED”) to ensure overall program goals are met.

Duties and Responsibilities (the below is not an all-inclusive list)

Finance and Human Resources Management

  • Assist the ED in employee hiring, termination, annual reviews, and employment policies
  • Manage all AJP policies and procedures and personnel files
  • Assist with internship/externship processes
  • Respond to all Employment Verification Checks
  • Manage the AJP 401K plan
  • Process and maintain all invoices, payments, donations, and reimbursements
  • Reponsible for inputting and tracking finances in QuickBooks
  • Manage the AJP Credit Cards
  • Manage Payroll
  • Assist in the preparation and review of the Annual Audit, Form 990, and State Registration Renewals with the Auditors
  • Assist with the preparation and management of the organizational budget
  • Work with the Development Director to reconcile the Donor processing system with QuickBooks

 

Administrative Management

  • Work with the ED to ensure Bylaws and Board policies are up to date, as well as schedule new board member orientation
  • Coordinate with the ED on preparation and planning for quarterly Board of Director meetings and Board Committee meetings
  • Track Board member terms and work with the Board Governance and Finance Committees
  • Coordinate with the Development and Communications Director and the ED on fundraising and event initiatives, including the annual fundraising plan
  • Assist in the implementation of fundraising and community events
  • Oversee all insurance policies for the AJP (health, worker’s comp, non-profit, and malpractice)
  • Manage the day-to-day operations of the office and office needs, and responsible for incoming mail, supplies, office machine maintenance, internet / phone service, lease agreements, etc.
  • Work with legal teams ensuring all case data and case activity is up to date in case management software CLIO
  • Manage the various software subscriptions (e.g. CLIO, Westlaw, Donorsnap)
  • Manage the AJP Lobby registration

Minimum Qualifications

  • A passion and enthusiasm for the AJP’s work
  • An understanding and ability to articulate the mission, legal work, accomplishments, and goals of the AJP
  • Experience with Quickbooks, ADP or similar platforms
  • At least 3 years of experience in office management, HR, or similar role
  • At least 3 years of experience in Non-Profit work
  • Ability to work independently without close oversight, but also a team player who is able to work collaboratively with others
  • Strong leadership abilities, time management, and ability to set and meet deadlines
  • The intelligence, maturity and sound judgment necessary for interacting with donors, volunteers, community leaders and others from a wide variety of backgrounds
